Booking Terms
1. Age Requirement
The lead guest making the reservation must be at least 18 years old. This is to ensure that all guests are legally capable of entering into a binding agreement.
2. Payment Schedule
Full payment for your stay is required during the week of your arrival to secure your booking.
3. Agreement Overview
These booking terms ("Booking Terms") form a legal contract between HAYY LTD ("We"/"Us"/"Our"), as detailed in the "Reservation Confirmed with" section of your booking confirmation ("Booking Confirmation"), and you, the individual or entity making the booking ("You"/"Your"). These Booking Terms govern all accommodation services ("Booking(s)") provided by Us and are regulated by English law. By proceeding with your Booking, you agree to adhere to these Booking Terms.
4. Credit Card Payments
When you make a payment via credit card, the transaction will be processed under Us, our parent company, or our trading name as the merchant of record.
5. Right to Refuse Reservations
At the discretion of our directors, We reserve the right to refuse bookings from guests who may not comply with our house rules or pose a risk to our property or other guests.
6. Booking Acceptance
A booking is confirmed, and the contract between You and Us becomes effective once We accept your reservation. Acceptance occurs when We confirm your booking and receive either (i) full payment of the total price; (ii) a deposit equal to the first night’s stay; (iii) any other specified amount at the time of booking; or (iv) an agreement to collect payment upon check-in or check-out. If less than the total price is paid initially, the remaining balance is due upon check-in, check-out, or at a previously agreed date. You must be over 18 years of age and capable of entering a legally binding contract. Payments can be made using a valid credit/debit card, PayPal, or other specified methods. Upon confirmation, you will receive a reservation number to retain for any modifications or cancellations.
7. Pricing
All prices quoted include VAT at the applicable rate and are charged per room, per night. Additional costs incurred during your stay (e.g., room service, extra amenities) are not included in the initial price unless explicitly stated. The quoted prices are valid for the specified number of guests, dates, nights, and rooms at the time of booking.
8. Availability
In rare cases where We cannot accommodate your reservation as confirmed, We will offer alternative accommodations. If the alternative is more expensive, you will be responsible for the price difference; if it is cheaper, We will refund the difference.
9. Arrival and Departure
Your check-in and check-out times are specified in your Booking Confirmation. If you need to check in outside of these times, please arrange this directly with Us. Failure to do so may lead to cancellation of your booking and retention of any applicable fees. Please note that an additional charge of £20 applies for check-ins after 11:00 PM
10. Cancellations & Amendments
- Cancellations: You can cancel your booking on or before the specified Cancellation Deadline for a full refund, including any extras. Cancellations after this deadline will incur a charge equal to the first night’s stay, including any selected extras.
- **Amendments:** Changes to guest numbers, dates, room nights, or room types may alter the pricing. If We are unable to accommodate your requested changes, your booking will be canceled, and you will receive a full refund if the cancellation occurs before the Cancellation Deadline. Otherwise, the standard cancellation terms will apply.
11. Payment
The total amount payable, as stated in your Booking Confirmation, will be charged to your credit/debit card, PayPal, or another specified payment method at the time of booking or upon check-in. Additional goods and services during your stay must be paid in full directly to Us.
12. Security Deposit
A security deposit is required and must be paid via bank transfer before arrival. This deposit will be returned within seven days after check-out, provided no damage occurs, smoking is detected, or keys are lost (replacement fee of **£50** applies).
13. Liability
Our liability is limited to the booking price, except in cases of death or personal injury caused by our negligence or fraudulent misrepresentation. We are not liable for failures to provide services due to factors beyond our control. You are responsible for any damages or losses caused to Us and agree to indemnify Us for repair costs. We reserve the right to terminate your booking without refund for any unacceptable behavior that disturbs other guests.
14. Data Protection
We will process your personal information in accordance with relevant data protection legislation. Your personal data may be transferred to eviivo Limited and its subsidiaries outside the EU. By making a booking, you consent to this data processing and transfer.
