Booking Terms
1. Age Requirement
The lead guest making the reservation must be at least 18 years old. This ensures that all bookings are made by individuals legally capable of entering into binding agreements.
2. Payment Schedule
Full payment is required during the week of your arrival to secure your booking.
3. Agreement Overview
These terms and conditions ("Booking Terms") constitute a binding agreement between HAYY LTD ("We", "Us", "Our") and the individual or organisation making the booking ("You", "Your"). They apply to all accommodation services ("Booking(s)") and are governed by English law. By completing your booking, you confirm that you agree to comply with these Booking Terms.
4. Credit Card Payments
All credit card transactions will be processed under our company name, our parent company, or our trading name, as applicable.
5. Right to Refuse Reservations
We reserve the right to refuse bookings at our discretion if we believe a guest may not comply with our house rules or may pose a risk to the property or others.
6. Booking Acceptance
A booking becomes binding once it is confirmed by Us and one of the following conditions is met:
(i) full payment is received,
(ii) a deposit equal to the first night’s stay is received,
(iii) another agreed amount is paid at the time of booking, or
(iv) an agreement is made for payment upon check-in/check-out.
Payments can be made using a valid credit/debit card, PayPal, or any other accepted method. You will receive a reservation number upon confirmation for use in future communication.
7. Pricing
All prices include VAT at the current rate and are quoted per room, per night. They apply only to the number of guests, rooms, dates, and duration specified at the time of booking. Any additional services or amenities are charged separately unless otherwise stated.
8. Availability
If, for any reason, we are unable to fulfil your booking, we will offer suitable alternative accommodation. If the alternative is more expensive, the guest will be responsible for the difference. If cheaper, we will refund the difference.
9. Arrival and Departure
Check-in and check-out times will be stated in your Booking Confirmation. Late check-ins (after 11:00 PM) will incur an additional fee of £20. If you need to check in outside standard times, please notify us in advance to avoid cancellation and loss of fees.
10. Cancellations & Amendments
- Cancellations: Bookings cancelled before the specified Cancellation Deadline will be fully refunded. Cancellations after the deadline will incur a charge equal to the first night’s stay, including any selected extras.
- Amendments: Changes to guest count, dates, length of stay, or room types may result in price changes. If we are unable to accommodate requested changes, you may cancel the booking. A full refund will apply if cancelled before the deadline; otherwise, standard cancellation terms apply.
11. Payment
The total booking cost, as outlined in your Booking Confirmation, will be charged to your selected payment method either during booking or upon arrival. Any extras incurred during your stay must be settled directly with Us.
12. Damage Deposit
A pre-authorised damage deposit will be required prior to check-in. This amount will be held on your card and automatically released within seven days of your check-out, provided the apartment is left in good condition, with no damages, smoking, or lost keys (note: lost keys incur a £50 replacement fee). No funds are taken unless damage is reported.
13. Liability
Our liability is limited to the total cost of your booking, except in cases of death or personal injury caused by our negligence. We are not responsible for events outside of our control. You are liable for any damage caused to our property and agree to reimburse all related repair or replacement costs. Bookings may be terminated without refund in cases of serious disturbance or unacceptable behaviour.
14. Data Protection
We process your personal information in accordance with UK data protection laws. Your information may be shared with eviivo Limited and related entities, including those outside the EU, for booking management purposes. By making a booking, you consent to this processing.
